Robert Half Finance & Accounting Sr. Administrative Assistant in Columbus, Ohio

This position performs a variety of basic and some advanced administrative functions. This includes scheduling appointments, giving information to callers, typing memos, transcribing notes, and researching and developing presentations from templates. ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Provides general administrative support to a department or group of professionals including: a. Creating presentations using templates b. Generates and assembles reports c. Creating and working with spreadsheets using basic calculations, d. Receiving and responding to routine correspondence e. Filing/Scanning f. May operate as part of the front desk relief rotation and mail rotation as needed 2. Responsible for the general office operations, internal workflow, and recording of daily billable and non-billable time 3. Compose and prepare confidential correspondence, reports and other documents as needed, proofing for grammar, content, and accuracy 4. Interprets and enforces administrative and operating policies and procedures for team members 5. Plan and coordinate projects and assignments by organizing own schedule, and that of others, to meet deadlines Main Responsibilities 6. Sales and Marketing Data Management: a. Data maintenance in related databases, salesforce.com, client central maintenance, tactical planner, excel, and other data collection or research tools. This would include updating contact data in the respective database from mail returns, email bounces and other sales and marketing activities. 7. Creating specialized reports within these databases including: b. Contact management / department or functional area specific reports c. Campaign creation and response management d. Sales opportunity pipeline 8. Implement specific marketing projects in support of line department business objectives 9. Administrative support for trade shows, seminars and sponsorships lead by respective department/office teams and marketing managers e. Shipping / packaging materials f. Produce name badges, name tents, collateral packets, handouts g. Registration and confirmation tracking h. CPE credit processing 10. Assistance in developing proposal and presentation materials for opportunities and pursuits 11. Develop and distribute press releases to the media for new hires and promotions as appropriate 12. Participate in marketing meetings, as well as liaison meetings / conference calls 13. Client Central (new clients, updates and folder requests) 14. Assistance in the printing/binding of and mailing of financial statements and/or arrangement letters and confirmations (mailing, tracking and scanning) 15. Booking travel for CRM team 16. Preparing expense reports (Approx. 1-2 hours, once a month) as requested 17. Assist with Tax Processing during peak periods a. Print and assemble tax returns b. Responsible for learning, understanding and scanning client documents to DOTT (Digital Office Tax Tools), and assigning scanned work to the appropriate staff through workflow For immediate consideration, please send your resume to Quinn.Bradley@roberthalf.com
