JOB TITLE: Contract Coordinator /Accounts Receivable Specialist


REPORTS TO: Director of Finance

FLSA: Hourly, Non-Exempt

SMG, the leader in privately managed public assembly facilities has an excellent and immediate opening for a Contract Coordinator/Account Receivable Specialist at the Huntington Convention Center and the Global Center for Health Innovation. This position will be responsible for performing the following duties:


  • Processes, produces and issues all department related reports including event schedules, booking reports, conflict reports and occupancy reports
  • Produces, processes, issues, tracks and records all Use License Agreements and Addendums

  • Proofs and verifies all Agreements for accuracy

  • Processes and prepares all Agreements and Addendums for General Manager signature
  • Coordinates and verifies accuracy of all Event Booking Management System (EBMS) entries, including

  • Dates/spaces/rates

  • Financial terms
  • Event statistics and market segmentation
  • Client contact information
  • Overall data integrity of EBMS
  • Copies and distributes signed Agreements to appropriate sales person, department and client
  • Maintains hardcopy and electronic copy and files of all Agreement
  • Generate event deposit invoices per contract payment schedules
  • Monitors client adherence to contract payment schedule and actively manages the collection of event deposits
  • Coordinates with event staff to ensure accurate event estimates are prepared, generated and delivered to our clients in a timely manner
  • Communicates event collection non-compliance issues with appropriate sales, events and finance staff
  • Generates invoices for completed events and other non-event activities
  • Set up new customers and projects within the financial accounting system
  • Prepares and processes daily deposit paperwork:
  • Responsible for collections on all A/R accounts
  • Assists with other projects as needed


  • Associate degree in Business, Hospitality or related field preferred. Previous experience will be considered in lieu of education; 2 years of direct experience equal to 1 year of college

  • Must process ability to be proactive
  • Demonstrated ability to work in a team environment and interact with many departments, levels and staff
  • Possess professional presentation, appearance and work ethic
  • Knowledge of computers including a strong background in Microsoft Office and other sales/marketing and accounting specific programs
